Party and Meeting Facility Guidelines (4105 NW Lake Drive)

Reservations
1. All contracts must be dated and signed.
2. Deposit and room rental fee due upon signing the contract. All checks should be made payable to Lakewood Property Owners Association (LPOA).
3. Reservations made less than 30 days from the date of the event requires the deposit and room rental fee be made in cash, at the time the contract is signed.
4. Reservations are not considered to be confirmed nor event booked until contract is signed and the deposit is paid.
5. Reserving party must sign the contract and the check-in/check-out form on the date of the event and be present during the event.
Availability/Capacity of Clubhouse
1. Clubhouse is available from 8:30 a.m. to 12:00 midnight – Sunday through Saturday
2. Parties needing extra set-up time may make arrangements when booking the reservation. However, facility cannot be accessed before 8:30 a.m.
3. Clubhouse has a 200-person capacity – 100 on the upper banquet level and 100 in the dining room area.
4. The deck may be accessed from the main level when renting the dining room level.
5. During swim season and when the pool and snack bar are open, the lower level patio is not available for use.
Parties & Activities Involving Minors
1. Reserving party agrees that for any activity involving minors one adult chaperone, for every five (5) minors, will be present at all times during the function.
2. Reserving party may be held responsible for contributing to the delinquency of a minor, if any minor should partake of alcohol or controlled substance or if any attendee participates in a confrontation with law enforcement.
Set-up & Clean-up
1. LPOA furnishings and / or equipment cannot be removed from the Clubhouse.
2. Reserving party shall arrange for all deliveries and pick-ups and must be present to handle those.
3. LPOA will not be responsible for, or store, any equipment, furniture, supplies, etc. that is delivered to or left on the premises.
4. Reserving party is responsible for checking in with staff and signing the inspection check-in form.
5. Reserving party is responsible for checking out with staff and for signing off on the check-out form.
6. Reserving party shall be responsible for the following clean-up after their event:
  • Wipe off all tables and chairs

• Wipe off all kitchen surfaces used

• Remove all leftover food and equipment from building

• Check restrooms for trash/debris

• Empty all trash cans, remove trash from building and deposit in trash dumpster in north parking lot

• Sweep and / or mop entire area used

Deposit (cleaning & damage)
Fully refundable if premises left clean and undamaged. If there is damage that exceeds the deposit the person signing the rental agreement will be the responsible party.
  • $250.00 – LPOA Member

• $500.00 – Non-member

Rental Fee Includes
  • Set-up & take-down of tables and chairs (Reserving party will supply own linens and other materials, goods and equipment for their event)
LPOA Member Rental Fee
LPOA Member may NOT “sublease” to a non-member. LPOA Member leasing the space will be expected to be the person signing the check-in and check-out sheets.
  • $50.00 per hour (1 floor)

• $25.00 per hour (each additional floor)

Non-member Rental Fee
  • $100.00 per hour (1 floor)

• $50.00 per hour (each additional floor)

Refund Policy
  • Cancellation of an event must occur at least 30 days prior to the reserved date to receive full refund.

• Cancellation of an event made less than 30 days prior to the reserved date will forfeit the damage/cleaning deposit.
